Businessman Looking Suspiciously Over His ShoulderDo you have a bunch of business cards, order forms, fish bowl slips or other piles of contacts cluttering your desk?  Does it make your stomach hurt to look at it, thinking about the potential business just sitting there gathering dust?  Want to know my “Secret Tool” to turn those piles into smiles?

Are you sitting down, because you may not believe me when I tell you the very simple way to start putting them to good use….are you ready…??

Put them into a spreadsheet.

Yes, that’s it, that is the secret!  Not every solution needs to be complicated, especially not contact management!  Here is the secret I’ve shared with my Superstar clients (and actually have created and completed for them, even better!)

After each event, take the contacts and put them into a spreadsheet, using a format similar to this:

Type in the information in this format, because you want this to go fairly quickly leave the “notes’ column for later, typing in notes can slow you down.  The important thing at this point is to simply capture the contact into a format that you will be able to use in multiple ways.

Once you have a spreadsheet saved as the Event Name, you can upload it into:

  • Contact Management System (CRM)
  • Your Back Office
  • Email Marketing Service (ie., ConstantContact)
  • SendOutCards account

NOW you can:

  • Create and send a follow-up email message
  • Design and send a greeting card campaign
  • Send company created marketing emails, newsletters or brochures
  • Use Mail Merge and print labels to send out catalogs
  • Print a copy and start systematically calling them and making notes

Whatever you decide, you now have the information in a format that you can use.  So you can stop feeling bad about not reaching out to these leads and start adding customers, team members or parties to your business!

About 3 years ago my Mom asked me a question “isn’t there someone you can talk to about what you want to be when you grow up?”.  That question, although a little tongue and cheek, was just the right question I needed to be asked…because who to ask it too was the one question I did know the answer to.

Going back to a time before facebook was the powerful research tool that it is today, I was involved in a wonderful online forum for Mom Entrepreneurs, I spent countless hours searching for answers trying to discover how I could be one too!  It was in that group that I found there was a coach who would indeed be the exact person to help me answer that funny little question from my Mom:  What did I want to be when I grew up?  She helped me realize that I already knew, I just needed confirmation, I wanted to be a Virtual Assistant!

Child's Drawing of FamilyToday marks two important dates, FIRST, it’s the day I became a Mom, my amazing son was born 13 years ago today!  And second, after 10 years of being a Mom I was able to add “Entrepreneur” to my title.  So here we are today 3 years later, and I’m the proud Mom to a 13 year old, a soon to be 11 year old and a 3 year old business!

So why did I end up knowing that I wanted to be a Virtual Assistant?  I had spent all my career in the corporate world providing professional administrative support; working for Managers, Engineers, Financial Planners, Vice President’s and CEO’s in everything from large manufacturing companies to small businesses.  While my experience and skills in corporate allowed me to help support many wonderful people to succeed at their jobs, what it didn’t allow me to do was stay home with my children or be able to directly impact other women who also wanted to work from home as well.

I have a passion for Direct Sales, I even wrote about growing up in Direct Sales, and even though I LOVE the sisterhood of Direct Sales I realized that the way I could best serve this profession was by taking my administrative skills and sharing them with those who, like you, are successfully building their own businesses in Direct Sales.  My gift for administrative support would allow these women to focus on more of what they do best, without worrying about all the rest.

If you are one of the many amazing women who start a business in Direct Sales or Network Marketing it’s because you know that hands down it is one of the BEST ways to start your own business.  However, what I found missing for many Superstars in Direct Sales is the back office, day-to-day, professional administrative support that most of the managers, leaders, and executives in the “corporate” world have to help support and manage a large part of their day to day activities.
